How to Create a Time Budget

A tool which can be very effective in time management is the creation of a time budget. A time budget details what type of activities you spend time on as well as how much time you want to allocate to each of these activities. A time budget can be thought of as a to-do list with a certain amount of time budgeted to each item.

A Time Budget Starts with a List of Activities

A time budget for effective time management begins by listing the activities to which you want to allocate time. You may do a time budget for a day, a week or even just one particular area of your life. If you are doing a time budget for larger portions of time then you may want to group activities under categories and allow a certain amount of time to the category rather than to individual tasks. If you want to budget time for a certain area of your life e.g. social, then you may get more specific and break this down into time spent with friends, time spent with family, etc.

A Time Budget Allocates Time to a Number of Activities

Once you have written down your list of activities the next step is to allocate time to these different activities. Before doing this you need to figure out how much time you have to complete the tasks on your list. This time then needs to be proportioned between the various activities. When allocating time to the various activities you should look at both how important the activity is and how long it is likely to take. Tasks with a higher priority will probably take more time, while tasks that are less important should probably take less time.

Working with a Time Budget

Once you have written down your list of activities and assigned a certain amount of time to each activity you have your basic time budget, but how do you work with this budget? Time budgets are particularly useful in terms of helping to fit tasks into your day, for example, if you have five minutes available somewhere and you know you have only allocated five minutes to a specific activity then you can quickly do this activity in your spare five minutes; likewise, if you have a block of time available somewhere and one activity that is going to take a large block of time then you will be able to see where to fit this. Working with a time budget therefore means having more control over where and how you fit specific activities into your day for maximum effectiveness.

In conclusion, one tool for more effective time management is a time budget. Time budgets allow you to create a list of activities that you want to get done within a specific amount of time and then to allocate portions of time to each of these activities. Once you have allocated time to each of these activities you can then determine how best to fit these activities into that time period for maximum effectiveness.
